JKA Logic LLC ("we," "us," or "our") operates CadetOps (the "Service"), a cadet management platform. This Privacy Policy explains how we collect, use, store, and protect information when you use the Service.

If you are using the Service on behalf of a department or organization, that entity is responsible for the data it provides and controls within the Service.

2. Information We Collect

We collect the following categories of information:

Account Information

Name, email address, phone number, and any identifying number (such as a cadet ID or serial number) provided by your department administrator.

Attendance Data

Event check-in records, including timestamps and related activity data.

Inventory Data

Records of equipment issued to and returned by users.

Uploaded Files

Documents such as permission forms, waivers, signed documents, and other files uploaded by authorized users.

Authentication Data

Hashed passwords and authentication-related data. We do not store plaintext passwords.

Technical Data

Basic system and usage data such as IP address, browser type, and access logs, used for security and system performance.

3. How We Use Your Information

We use collected information to:

  • Provide, operate, and maintain the Service.
  • Authenticate users and manage accounts.
  • Track attendance, inventory, and cadet program activities.
  • Send transactional communications (account setup, password resets, system notifications).
  • Monitor system performance, security, and misuse.
  • Respond to support inquiries.

We do not sell, rent, or share personal information with third parties for marketing or advertising purposes.

4. Data Access and Control

Department-Level Access

  • Department administrators and advisors can access all data within their department.
  • Cadets can access their own data (profile, attendance, assigned inventory).

Platform-Level Access

  • Authorized personnel at JKA Logic LLC may access data strictly for system maintenance, technical support, and security monitoring.

Data Isolation

Each department's data is logically separated. Users from one department cannot access another department's data.

5. Data Storage and Security

We implement industry-standard safeguards, including:

  • Secure cloud infrastructure.
  • Encrypted connections (HTTPS/TLS).
  • Password hashing using bcrypt.
  • Role-based access controls.
  • Private file storage with time-limited signed URLs.

However:

  • No system can guarantee absolute security.
  • Users and departments are responsible for protecting their credentials.
  • Data transmission over the internet carries inherent risk.

6. Children's Privacy

CadetOps is intended for use by law enforcement cadet programs, which may include individuals under 18 years of age.

  • Accounts for minors are created by authorized department administrators.
  • We do not allow minors to independently create accounts.
  • Departments are responsible for obtaining and maintaining any required parental or guardian consent.

JKA Logic LLC does not independently verify consent and relies on departments to comply with applicable laws, including the Children's Online Privacy Protection Act (COPPA) and other relevant regulations.

7. Data Retention

  • Data is retained for as long as necessary to provide the Service and support department operations.
  • Department administrators may delete users at any time.
  • After account removal, data may be retained for a reasonable period for administrative, legal, or audit purposes.
  • Data may be permanently deleted after the retention period.

8. Your Rights

Subject to applicable law, you may:

  • Request access to your personal data.
  • Request correction of inaccurate information.
  • Request deletion of your data.

Requests should generally be directed to your department administrator first. You may also contact us directly.

9. Third-Party Services

We use trusted third-party providers to operate the Service, including:

  • Vercel — application hosting.
  • Neon — database hosting.
  • Cloudflare — DNS, CDN, and file storage.
  • SendGrid — transactional email delivery.

These providers process data only as necessary to deliver the Service and are subject to their own privacy policies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
